How does the cost-of-vacancy calculator estimate a weekly cost?

It adds lost value and cover costs, then subtracts the salary you are not paying while the seat is empty. Lost value is either an annual figure divided by 52 or delayed projects multiplied by value per week. Cover includes overtime, temporary help and other costs you enter.

The weekly figure is then multiplied by the weeks the role has been open to date, and by weeks open plus weeks expected for a projection. Every input is yours. The calculator does not assume a market benchmark for lost revenue, because that depends entirely on the property.

If you enter a fee percentage and salary, it divides the fee by the weekly cost to show a break-even point in weeks. That number helps an owner weigh a search fee against the cost of waiting, without pretending to predict how long a search will take.

If the weekly figure is zero or negative, the tool says the vacancy is not costing money on those inputs. That can be a useful finding: it may mean interim cover is working and you can hire on quality.

Which inputs most change the result?

Lost value usually dominates. A modest change in what you believe a week of vacancy costs in delayed renewals, slower turns or postponed projects moves the weekly figure more than cover costs do. Spend most of your effort estimating that input honestly, and try a low and a high version to see the spread.

Cover costs are easier to pin down from payroll and invoices. Enter overtime paid to remaining staff, any temporary help and other direct costs such as extra vendor visits.

Weeks expected is a planning assumption, not a promise. Use your own experience with past hires and treat the projection as a range rather than a forecast.

Every input accepts only nonnegative numbers, and blank fields count as zero, so you can start with the figures you know and add others later. The fee break-even appears only when both a salary and a fee percentage are entered. Owners often run the calculator twice, once with cautious lost-value estimates and once with fuller ones, and share both with partners so the decision rests on a range rather than a single number.

Our process

What do you get from The Six-Step Search?

Real Estate Headhunters begins with the decisions behind your vacancy, not an advert. You get a clear brief, a mapped candidate pool and evidence from direct conversations. We help you distinguish an interested person from a qualified fit, then support interviews and the decision without promising a completion date.

  1. 1

    Search Calibration

A brief that settles the operating problem, reporting line, location, compensation and who can approve the hire.

  2. 2

    Market Mapping

A view of relevant working backgrounds, asset types and experience rather than a search based only on titles.

  3. 3

    Professional Contact Intelligence

Direct ways to approach relevant people respectfully, without relying on applications or exposing a confidential vacancy.

  4. 4

    Persistent Personalized Outreach

A conversation about your actual role, with follow-up that establishes whether a move is worth discussing.

  5. 5

    Live Candidate Qualification

Evidence about responsibilities, relevant results, systems and the practical reasons someone would accept the move.

  6. 6

    Candidate Intelligence and Process Support

A short list with context for interviews, objections and decisions, not a stack of unexplained resumes.

What else should you ask before starting this search?

Why subtract the unpaid salary?

While the seat is empty you are not paying that salary. Leaving it out would overstate the cost. You can switch the subtraction off if you prefer.

What should we enter as lost value?

Your own estimate, such as delayed renewals, slower turns or postponed projects. Use the itemized mode if you can value specific projects per week.

When do we pay the recruiting fee?

No upfront fee. You pay only if you hire under the standard contingency agreement. The signed agreement sets the terms; read the fee page before authorizing the search.

How long does it take to see a short list?

The scope of the job, candidate availability and your interview decisions affect the search. We explain the market response and agree next steps rather than promise a numeric deadline.

What if our chosen candidate gets a counteroffer?

We ask about the reasons for a move before an introduction. You still need a clear offer and an honest account of the job; an increase in pay alone may not resolve why someone considered leaving.

What are the replacement terms?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.

What do you not do?

We do not sell job-board reposting or send an unqualified resume stack. Standard permanent search is not hourly consulting or a retained assignment. Different engagements require agreed terms.

CAM has different meanings. NAA CAM is the Certified Apartment Manager credential. The Florida community association manager license is a separate license, cited here as an example of state licensing. In commercial budgets, CAM means common area maintenance. We check the credential or license relevant to the opening, where the state requires it.
