Property management and real estate credentials and licenses
Real Estate Headhunters: Before we search, we separate the credentials the work requires from the ones you would prefer. A state license can control whether someone may perform a regulated task. A professional designation usually shows knowledge of a defined subject. Neither tells you how the person handles a difficult owner meeting or diagnoses a fault.
This is what we do all day: recruit property management and real estate professionals.
The letters after a name tell you which questions to ask. They do not replace those questions.
No upfront fee. You pay only if you hire.

01 / The decision
Credentials are evidence, not a substitute for judgment
Before we search, we separate the credentials the work requires from the ones you would prefer. A state license can control whether someone may perform a regulated task. A professional designation usually shows knowledge of a defined subject. Neither tells you how the person handles a difficult owner meeting or diagnoses a fault.
Write the actual work into the brief first. Then decide which credential belongs beside it. An apartment manager, an association manager and a commercial building engineer need different evidence. Ask who issued each credential, what it covers and how the candidate has used that knowledge on a comparable assignment.
A long credential list can distract from a thin operating record. We ask candidates to explain a decision, a file or a repair rather than recite course names. Where licensing applies, check the relevant regulator and the assignment scope. If the issuer provides status verification, use it rather than relying on a resume.
02 / Questions
Credentials, issuers and what they prove
- 01CPM, Certified Property Manager (IREM): property management education and experience under the designation requirements. Ask how the candidate owned a budget and explained operating results.
- 02NAA CAM, Certified Apartment Manager (NAAEI): apartment management knowledge. It is not the Florida community association manager license, and it does not establish experience with your property systems.
- 03CALP, Certified Apartment Leasing Professional (NAAEI): apartment leasing knowledge. Check follow-up records and how the candidate explains lease terms without making promises outside their authority.
- 04CAMT, Certificate for Apartment Maintenance Technicians (NAAEI): apartment maintenance education. A practical fault-finding discussion is still needed; this certificate does not replace EPA refrigerant certification.
- 05CMCA, Certified Manager of Community Associations (CAMICB): assessed association management knowledge. Check board communication and financial judgment separately; the certification does not replace a required state license.
- 06AMS, Association Management Specialist (CAI): an association management designation. Ask how the candidate prepared budgets, managed vendors and followed board decisions through to completion.
- 07PCAM, Professional Community Association Manager (CAI): an advanced association management designation. Establish the size and character of the communities managed, rather than assuming every association presents the same work.
- 08EPA Section 608 technician certification: issued through EPA-approved certifying programs for regulated refrigerant work. Verify the certification type and ask the technician to explain a diagnosis.
- 09CPO, Certified Pool & Spa Operator (Pool & Hot Tub Alliance): pool and spa operations knowledge. Water chemistry knowledge does not establish the ability to diagnose every pump or heater fault.
- 10RPA, Real Property Administrator (BOMI): commercial property administration education. Ask for an explanation of a lease recovery or operating budget from the candidate’s own work.
- 11FMA, Facilities Management Administrator (BOMI): facilities management education. Establish which building systems and vendor responsibilities the candidate has actually managed; it is not a trade license.
- 12State real estate licenses: issued by the relevant state regulator. Check whether the assignment requires a license, its scope and current status; do not assume every onsite task is regulated alike.
- 13State association manager licenses: apply where the state requires them. The Florida community association manager license is an example, distinct from NAA Certified Apartment Manager; verify the applicable regulator.
- 14Affordable compliance credentials: HCCP, COS and TCS cover different housing programs and have their own issuers. Ask which programs the candidate worked with and how they resolved a file problem.
03 / Context
How to verify the evidence
- Use the issuer’s official description to understand what a designation covers. NAAEI, IREM, CAMICB, CAI, BOMI and the Pool & Hot Tub Alliance describe their own programs. EPA lists approved Section 608 certifying programs. A training provider’s marketing description is not a substitute for the issuer’s scope.
- For a regulated assignment, check the state regulator rather than a recruiter’s interpretation of licensing law. Request evidence from the candidate and obtain any permission needed for verification. Record what was checked. If a status or scope is unclear, resolve it before making the credential a condition of an offer.
04 / Pitfalls
Which hiring mistakes should you avoid?
- Treating a voluntary designation as permission to perform regulated work. Put licensing and preferred education in separate parts of the brief.
- Using one credential requirement for every asset. Match the program, building systems and decision authority to the role you are hiring.
- Accepting acronyms without a work example. Ask what changed because the candidate applied that knowledge, and who can confirm their responsibility.
05 / Next steps
Put it into practice
- 1
Define the assignment
We ask which decisions this person owns and which work is regulated. You decide what is essential before credentials narrow the candidate pool.
- 2
Check the evidence
We distinguish the issuing body, the credential’s subject and the candidate’s operating experience. Required license checks follow the regulator applicable to the assignment.
- 3
Test the judgment
We connect the credential to an interview question about your property. The answer needs to explain the candidate’s reasoning, not just repeat a course topic.
06 / Questions
What do owners ask before they hire?
Does a designation replace a state license?
No, a professional designation and a state license serve different purposes. Check the regulator for the tasks in this assignment before treating a designation as sufficient.
Which CAM do you mean?
NAA CAM means Certified Apartment Manager, an apartment management credential. The Florida community association manager license is a separate state license for association management.
Should every maintenance hire have EPA certification?
Match certification requirements to the refrigerant work the person will perform. EPA Section 608 certification does not establish their plumbing, electrical or general repair skill.
What if a credential is unfamiliar?
Ask for the full name and issuing body, then read its official scope. We also ask for a work example so an unfamiliar acronym cannot stand in for relevant experience.
Can we require credentials without excluding good operators?
Separate legally required qualifications from preferences that can be learned. For optional designations, judge the candidate’s operating evidence before deciding that the letters must be present.
When do we pay the recruiting fee?
No upfront fee. You pay only if you hire under the standard contingency agreement. The signed agreement sets the terms; read the fee page before authorizing the search.
How long does it take to see a short list?
The scope of the job, candidate availability and your interview decisions affect the search. We explain the market response and agree next steps rather than promise a numeric deadline.
What if our chosen candidate gets a counteroffer?
We ask about the reasons for a move before an introduction. You still need a clear offer and an honest account of the job; an increase in pay alone may not resolve why someone considered leaving.
What are the replacement terms?
We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.
What do you not do?
We do not sell job-board reposting or send an unqualified resume stack. Standard permanent search is not hourly consulting or a retained assignment. Different engagements require agreed terms.
