When is a recruiting fee due?

Real Estate Headhunters works on contingency for permanent searches. There is no upfront fee. You pay only if you hire. The signed agreement sets the fee, the payment trigger and the replacement terms before we contact candidates. Ask us to explain any clause that does not match how your business makes a hiring decision.

An empty property management seat can pull the regional into collections, vendor approvals and resident escalations. Paying to receive a pile of resumes does not solve that problem. Our work is to establish the actual job, identify people with relevant experience, contact them and qualify their interest before you spend time interviewing.

Do not assume that a fee description on a website is the agreement. Your search may involve more than one location, a confidential replacement or an operating model that needs a narrow background. Those details belong in the brief. The commercial terms belong in the document both sides approve. We do not publish a percentage or ask you to infer one from another firm's model.

What does the agreement need to settle?

Settle what counts as a hire, when payment becomes due and which replacement terms apply. Real Estate Headhunters will also agree how candidate introductions are handled. Put those points in writing rather than relying on a phone conversation. A clear agreement lets your team focus on whether the person can do the job.

Tell us if procurement, finance or an owner must approve the agreement. We would rather settle that at the beginning than find out after the candidate has accepted. Give us the legal entity making the hire and the person who can approve the search. If several owners share a management platform, clarify which entity will employ the person.

Discuss compensation and the reporting line separately from our fee. A property manager who will handle a difficult takeover needs to know who can approve repairs and whether the owner will support the operating plan. A maintenance supervisor needs to know the on-call expectations. Changing those details late can change a candidate's interest even when the fee terms stay the same.

What happens if the hire does not work out?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.

Read the approved replacement terms in your signed agreement. Ask what circumstances are covered, what notice is required and what information we need. The website does not add a separate guarantee length. Tell us early when a new hire is struggling so the discussion can address the actual fit rather than assumptions about the person's title.

The best way to reduce a mismatch is to be direct before the search starts. If the site has delinquency problems, say so. If the board expects evening meetings, include that. If the incumbent is leaving after a disagreement over spending authority, do not describe the vacancy as routine. Candidates need an accurate picture of the job they are accepting.

What do we not charge for or promise?

Our standard permanent-placement search is not hourly consulting, a job-board reposting service or a promise that somebody will start on a particular date. We do not require a retainer under that model. Any different engagement must be agreed separately. No fee is owed if a contingency search does not produce a hire.

Contract, temp-to-perm, lease-up and seasonal assignments are available on request, with terms set for the engagement. Do not use this permanent-placement page to infer contract billing or worker arrangements. We are not a same-day dispatch pool. Tell us the actual need and we will explain whether it fits the work we can take on.

You do not need to turn a first conversation into a purchase decision. Send the role, the location and the problem the vacancy creates. We can discuss the brief and whether a direct search makes sense. If the brief is not ready, we will identify what needs to be decided rather than present an invented shortlist date.

What happens next

Our process

What do you get from The Six-Step Search?

Real Estate Headhunters begins with the decisions behind your vacancy, not an advert. You get a clear brief, a mapped candidate pool and evidence from direct conversations. We help you distinguish an interested person from a qualified fit, then support interviews and the decision without promising a completion date.

  1. 1

    Search Calibration

A brief that settles the operating problem, reporting line, location, compensation and who can approve the hire.

  2. 2

    Market Mapping

A view of relevant working backgrounds, asset types and experience rather than a search based only on titles.

  3. 3

    Professional Contact Intelligence

Direct ways to approach relevant people respectfully, without relying on applications or exposing a confidential vacancy.

  4. 4

    Persistent Personalized Outreach

A conversation about your actual role, with follow-up that establishes whether a move is worth discussing.

  5. 5

    Live Candidate Qualification

Evidence about responsibilities, relevant results, systems and the practical reasons someone would accept the move.

  6. 6

    Candidate Intelligence and Process Support

A short list with context for interviews, objections and decisions, not a stack of unexplained resumes.

What else should you ask before starting this search?

Is there an upfront charge?

No upfront fee. You pay only if you hire under the standard contingency agreement. Confirm the signed terms before the search starts.

Can you tell us the fee before contacting candidates?

Yes. We agree the commercial terms before beginning the search. The fee page does not publish a percentage because your signed agreement controls.

What if we do not hire anyone?

You owe nothing under a standard contingency search that does not result in a hire. Separate engagement terms, if requested, must be agreed in writing.

Does contingency mean a guaranteed shortlist date?

No. The brief, the available candidate pool and your interview process affect the search. We explain what we are seeing rather than promise a numeric deadline.

When do we pay the recruiting fee?

No upfront fee. You pay only if you hire under the standard contingency agreement. The signed agreement sets the terms; read the fee page before authorizing the search.

How long does it take to see a short list?

The scope of the job, candidate availability and your interview decisions affect the search. We explain the market response and agree next steps rather than promise a numeric deadline.

What if our chosen candidate gets a counteroffer?

We ask about the reasons for a move before an introduction. You still need a clear offer and an honest account of the job; an increase in pay alone may not resolve why someone considered leaving.

What are the replacement terms?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.

What do you not do?

We do not sell job-board reposting or send an unqualified resume stack. Standard permanent search is not hourly consulting or a retained assignment. Different engagements require agreed terms.

CAM has different meanings. NAA CAM is the Certified Apartment Manager credential. The Florida community association manager license is a separate license, cited here as an example of state licensing. In commercial budgets, CAM means common area maintenance. We check the credential or license relevant to the opening, where the state requires it.
